Each workflow guide is a recipe for one common job: what triggers the workflow in HubSpot, which Flowella actions it uses, how it branches on the customer’s response, and what it writes back to the contact record. Use them as starting points and adapt the timings, properties and templates to your own process.

Before you build any recipe

Every recipe assumes the same groundwork:
  • Flowella is connected to HubSpot, with Custom workflow actions, Contact activity events (message sent, read, replies, forms) and CRM contacts (auto-create on new WhatsApp chat) unlocked. See Capabilities.
  • Every contact you message first has agreed to receive WhatsApp messages from you. Meta requires opt-in, and Flowella doesn’t record it for you. See You are responsible for WhatsApp opt-in.
  • Your WhatsApp templates are approved by Meta in the right category. Marketing, Utility and Authentication templates are priced and approved differently, so check Pricing and message categories before you choose one.
  • Any form you want customers to complete in WhatsApp has a published WhatsApp Flow. See Flows.
  • Contacts have a WhatsApp number in international format. In each Send WhatsApp Template step, set Contact Phone Number to the property that holds it. See Phone number format.
  • You know which Flowella triggers and actions are available in HubSpot. See HubSpot workflow actions.
If you have not sent a Flow from a HubSpot workflow before, start with Send your first Flow. It walks through the simplest version of the pattern every recipe uses.
Most recipes send a template first, then wait for the Form Completed or Text Reply event before branching. A reply opens the 24-hour window, so follow-ups inside it do not need a template. If a customer-care follow-up might run after the window has closed, use Send WhatsApp Reply. Outside the window it sends your approved Service smart reply template instead, with your message inside it. The Service template is a Utility template, so use it for service messages only, not offers or renewal asks. See Smart replies.
